Co-Exhibitor Submission Form

At OTC, we offer the opportunity for our exhibitors to host co-exhibiting companies within their booth. Show Management MUST be notified if you plan to take advantage of this opportunity. In order to do so, please submit the Co-Exhibitor Submission Form (linked below). You will also be given the option to upgrade your co-exhibitors listing on the form as well.

Your account allows you access to a variety of tools. To access your account, use your case sensitive company password, which can be found on your booth space confirmation letter. 

View your account summary/print your invoice

  • Enter your password, click on "My Account", select 'View/Print Invoice"

Make payments 

  • Enter your password, click on "My Account", select "Pay Invoice" 

Update your online and printed booth space profile

  • Enter your password, click on ‘Edit Booth Info’, Review your company information for accuracy or update company information if needed. You must click on "Save" for your information to be changed, regardless of whether or not changes were made.

Print your Exhibit Space Agreement

  • Enter your password, click on ‘Exhibit Space Agreement’, select ‘printer’ icon in the top right corner of the page.

Exhibitor Move-In

As OTC nears, it's important to know your target move-in date and understand what that entails. Knowing this will help you plan your travel accordingly, determine the date in which your exhibit should be shipped and arrive on-site. 

Your freight should arrive by the date in which Freeman has assigned on the Target Move-In Date floor plan. These floor plans can be located below or in the Exhibitor Services Manual

Once your freight is delivered, you have until the end of move-in to set up your exhibit.

Dark Day

NRG Park will be closed the Sunday prior to show opening. No exceptions. 

Late Exhibit Set-up

Any exhibitor whose installation will not begin until after 1200 on Saturday, 28 April, are required to submit the Late Exhibit Set-Up Notification form to OTC Show Management by 1000 on Friday, 27 April.

For exhibitors who do not notify show management, and carpet has not been ordered, the exhibitor will be assumed a no-show and carpet will be forced at the exhibitor's expense.

Monday Exhibit Set-up

Installation on Monday, 30 April may take place ONLY if you are bringing hand-carried items or items that can be transferred by a dolly. Access to heavy moving equipment will be strictly prohibited. 

Exhibitors are required to submit the Monday Set-Up Notification form to Show Management for approval. For exhibitors who have not notified show management, and carpet has not been ordered, the exhibitor will be assumed a no-show and carpet will be forced at the exhibitor's expense. The exhibition floor will open to exhibitors at 0700, and the exhibit must be completely set-up by 0830.

Important Announcements

Noteworthy Rules and Regulations

  • No open-toed shoes of any kind will be permitted on the exhibition floor. If you are in violation of this safety rule, you will be asked to leave the exhibit floor.
  • Children under the age of 18 are not permitted on the show floor during move-in/move-out.
  • Children under the age of 15 are not permitted on the show floor during official show hours.
  • Flying drones are prohibited.

Photography/Video/Audio Recording Regulations

OTC is organized and operated exclusively to promote and further advance scientific and technical knowledge of offshore resources and environmental matters. To maintain the unparalleled technological experience, OTC must enforce a photography and videography policy which will protect the leading-edge technology showcased at the event.

Avoid Exhibitor Scams

OTC has one (1) official housing and registration vendor – Experient. OTC is not responsible for lost deposits and hotel reservations obtained through individuals, agents, websites, or entities other than the official housing and registration vendor. Please be aware of housing poachers that have been contacting exhibitors to book hotel rooms, as no other housing/registration provider is authorized to contact you an OTC’s behalf.

Only official OTC vendors are approved to contact exhibitors about exhibit services and sponsorship opportunities.

Be cautious of any company claiming to sell/rent an OTC Show attendee list. OTC has no association with these companies nor have we authorized them to use our name or trademark. OTC does not sell/rent attendee email addresses to any third party. OTC and its registration company, Experient, only rent attendee mail addresses to exhibitors for one-time use, before and after OTC. The list does not include email addresses.
